Best thing I can suggest is to just remain professional. Be kind and courteous. Another thing you can do is take a screen shot of the refund and send it to the buyer. Offer a phone number to the buyer if they want to speak with you. You can get a prepaid phone or use Google Voice, just make sure you edit the voice settings so that Google doesnt screen the call, so that way the call goes straight through without Google asking for a name.
You might want to add in an email : "I am terribly sorry for any inconvenience this may cause. I do understand that it is a serious problem, but I am doing everything I can to fix the situation. I have issued the refund, please see attachment for proof of the refund. I believe in customer service and I will help you every step of the way, until the process is completed. If you want, please feel free to contact me at xxx-xxx-xxxx, my name is John."
Or something along those lines. You can even tell them, that if they feel the need, they can contact PayPal at whatever their number is. Im sure you can google the direct number or I'm sure someone here has it, i believe its a 801 area code.
