I got myself into a pickle....
 
I take full responsibility. ...this one is completely my fault..I am back ordered an sold one item I do not have in stock.

I have contacted various suppliers and just can't get the item in time for shipping.

I do have the item the customer purchased BUT it's in a different color...I guess the best thing to do would be ship the differentime color to them and just have them return it instead of cancelling order because out of stock?

why dont you just message the buyer and tell them you listed the wrong color by mistake?
And if they would like this color, and you can tell them how long the correct color will take?

sending the wrong item on purpose, may also end badly especially with defects and extra postage costs for no reason.

I agree, contact them first, by sending the wrong color u still can get a defect and lose money in postage for sending and a possible return

Guys if the buyer doesn't want a different color and I cancel the order because I ran out of stock isn't that worse?
Isn't selling an item not in stock a big strike from eBay?

no because if the buyer says he would prefer to cancel, then you can choose the cancellation option that says 'buyer made a mistake or changed his mind' and then you wont get a defect.

I understand, but my point is that if they refute the reason for cancellation and state the cancellation reason should be because I was out of stock. ..isn't that a bigger strike than a simple return for wrong color item?

They wont refuse cancelling if they tell u they do not want the other color, they would want the refund

I am saying they could refute the REASON for cancelling since it should technically be that I'm out of stock not because buyer changed mind.
If I put as reason buyer changed mind does that have any negative impact on the buyer??
If not then it's no problem I'll go ahead and cancel with buyer changed mind.

You really are over thinking this, because if a buyer asks for a refund, then if they deny the cancellation he will not get one.

who cares what reason is written?
In all my years of cancelling i have never had one person moan about what the text said from ebay.

either cancel the sale, or send the item and expect a 'not as described case'

Hey retailer77 I read all your posts, and i think the general problem is mostly because you are not enough self confident, and you don't try to think as a buyer or sometimes as Ebay does, it is no offence, only suggestion.

Buyer won't care about negative impact, it is very difficult to get banned from ebay as a buyer, they really have to be scammer with many success for it.
I am not sure, but I think only you can chose the reason of cancellation, and 99.9% of the buyers won't even care about the reason if you tell them they just have to accept to get their money back.
What I would do is :
-tell them to chose another color
- if he refuse, offer dicount for another color
- if he refuse cancel the order because buyer changed his mind.
- If he refuse this reason , make him cry a little bit (you support your family, ebay is your only job, your account has troubles ..)

Also, I hope you made several ebay accounts and grow them slowly, so when something wrong happend , you should fear less.

Communication... Pretty sure the customer will be a bit upset over not having the correct item, however with an apology and a solution (another color) this can EASILY be resolved without conflict.

I have sold an item before and during packing noticed it was damaged... Literally same situation. Explained we noticed it damaged and offered another color or 100% refund. They happily agreed to other color and thanked me for "heads-up".....

This and Give the buyer a 10% discount for your mistake and do your best to make sure it doesn't happen again.
